Meeting Minutes

April 1, 2026

 

 

 

 

I.         Call to Order – 10:08 AM

II.         Approval of Agenda – Motion to approve – JT Hott, 2nd Tina – motion passed unanimously

Approve Meeting Minutes – Motion to approve – JT Hott, 2nd LeeAnn Wiki – motion passed unanimously

Reports:

  • Treasurer’s Report  - checking balance - $11832.05, Coffee Connections income of $40, 2 new partners - $1,000 and $500. 

    • Motion to approve Jodi Adams, 2nd Christy Kauffman motion passed unanimously

  • Directors Report – attached. Motion to approve JT Hott, 2nd Cathy Simon – motion passed unanimously

  • Membership Committee Report – 154 members, 5 new in March (2 partners, 13 members)  Noted in discussion the increased signups were due to the activities by the board in soliciting members as well as CVB email to her subscribers.  Also, the executive director following up with pending members.

  • Programs Committee Report -  A list of Learning Series for the year has been established.  There are speakers for the series through May (pending BoR saying yes).  Additional speakers need to be confirmed for remainder of the programs.  The attendance has been largely by Zoom so it has been determined the series will continue as Zoom. The Chamber will be creating their own Zoom account for consistency and for future access.  Cost of Zoom is $17.11 per month. 

    • Motion to Approve – JT Hott, 2nd -Christy Kauffman motion passed unanimously

  • Marketing  Report

o   Event Structure – general discussion on creating a format for each event with a prearranged kit for each event.  Further discussion entails however it was agreed we should either review the venue and setup day before or event or one hour prior to event start.  The registration at events has felt somewhat unorganized, the goal is to make it easier for the check-in table as well as the guests.

o   Membership Renewals – Jenna is creating a list with added columns of renewal for membership committee and executive director.  Member email will be established to allow for easier/more recognizable communication for members/partners.

  • Social Media Videos – adding more video content for social media

  • Newsletter Draft

  • Learning Series Instructors – see above for learning series updates.

  • Motion to approve Christy Kauffman, 2nd Cathy Simon – unanimously approved.

 

III.         Old Business

·      March Coffee and Connections

·      Summer Harvest Festival – committee needs to be established with the first priority being determine a location.

·      Fall Job Fair – general discussion, with late September as a goal for date.

·      Locations for networking events – Jenna shared responses from Social Media. 

·      Time Capsule – Chambers participation in America 250, location needs to be determined, options were brought up in meeting and we will revisit in next meeting.

 

IV.         New Business

·      Membership Renewals – covered in marketing committee report

·      Hampshire on the Horizons Contribution – discussion around a contribution resulted in a motion – Motion made by Tina to approve the Chamber providing a one year executive membership to a Hampshire on The Horizons participant.  The winner will be determined by the executive director and presented at Hampshire on the Horizons.  2nd – Cathy Simon.  8 yes, 1 abstain, and 1 nay.  Motion Carries

 

 

V.         Communications/Public Comment

 

Additional communication from the Executive Director:

Full Throttle Customs Ribbon Cutting on May 2nd at 12:00.  The business will be hosting an open house from 10:00 am to 2:00 pm.  Jenna will not be available on this day and requested good pictures be taken for a social media post.  We are looking into options for video.  Please arrive 30 minutes prior to ribbon cutting for this one as well as all those going forward to allow time for setup and discussion with business owner.

 

South Branch Inn – new executive member with several businesses sent a request for the Chamber to run a Mixer on a Friday evening followed by Saturday vendor show at their location.  Original date of May was requested and after discussion it was determined we would like more lead time.  Jackie will ask South Branch Inn for alternative dates.

 

New board members :

David (Doc) Holliday and Tessa Neil will be invited to join board.  They will be asked to join our next board meeting in May to introduce themselves and for the board to vote on.

 

Upcoming Events:

 

Hampshire on the Horizons – April 21st at 6 pm

Leadership Exchange -  April 23rd at 6 pm

Full Throttle Customs Ribbon Cutting – May 2nd at Noon
